Convention Travel

Convention 2025 will be held June 18–22, 2025, at the JW Marriott Desert Springs Resort & Spa in Palm Springs, California. The closest airport is Palm Springs (PSP), which is about a 25-minute drive from the hotel.

Real ID Updates

The Transportation Security Administration (TSA) announced an official enforcement deadline for Real ID compliance. Effective May 7, 2025, all air travelers in the US will be expected to show a state-issued driver’s license – or other form of identification – meeting Real ID requirements in order to pass through airport security checkpoints. That goes for both domestic and international flights.  

Not sure if your ID (or your travelers’ IDs) will work?  

All Real ID compliant forms of identification are clearly marked with a star (or flag) in the top corner. Be sure to make any necessary updates within the next few months to avoid travel disruptions.

Chapter President Travel Information (CP)

Chapter Presidents must adhere to the AOII Travel Guidelines and utilize SAP Concur to book their flights. 

ARRIVAL: CPs should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT.  

DEPARTURE: All attendees can plan to depart at any time on Sunday, June 22. 

AIR TRAVEL*: Up to $600 paid by the Fraternity. Please note that the fraternity will cover only one flight per chapter. If an alternate is chosen after a flight is booked, any additional costs will be the attendee’s or chapter’s responsibility.   

GROUND TRANSPORTATION: Attendees must make arrangements for their own airport transportation. Ground transportation to and from the JW Marriott Desert Springs Resort & Spa & Convention Center is a personal expense. We encourage you to utilize the Convention app to identify attendees arriving at the same time as you, to ride share with to the resort. 

DRIVING*: Up to $100 in gas expenses (receipts required, no mileage allowance) paid by the Fraternity. 

A member representing a collegiate or an alumnae chapter delinquent more than 10 days in payment of any obligation due in to Headquarters from the start of the first business session, or any other member of Council similarly delinquent, shall not be entitled to vote so long as such obligation is unpaid and the chapter will be billed back for any expenses covered by the Fraternity. 

Chapter Advisor Travel Information (CA)

Chapter Advisors should work with their Finance Advisor to complete travel booking. 

ARRIVAL: CAs should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT.  

DEPARTURE: All attendees can plan to depart at any time on Sunday, June 22.  

TRAVEL: Paid by the Collegiate Chapter.

International Volunteers may begin booking travel arrangements via SAP Concur utilizing the current AOII travel guidelines. 

ARRIVAL:   

  • Executive Board, Foundation Board, and Properties Board members should plan to arrive at the hotel by 11:00 a.m. PT on Tuesday, June 17.   
  • Network Specialists and Directors should plan to arrive at the hotel by 5:30 p.m. PT on Tuesday, June 17.   
  • Past International Presidents should plan to arrive at the hotel by 6:30 p.m. PT on Tuesday, June 17.   
  • Standing Committee Chairs should plan to arrive at the hotel any time on Tuesday, June 17.  
  • Full-time attendees should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT.

General Attendee Travel Information

ARRIVAL: Full-Time General Attendees should plan to arrive at the hotel no later than 4:30 PM PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 PM PT. 

DEPARTURE: International Convention will end at the close of Rose Banquet on Saturday evening. All attendees can plan to depart at any time on Sunday, June 22.
