International Convention is held each odd calendar year to celebrate AOII’s biennium. At this event, business of the Fraternity is conducted and Council Members elect AOII’s Executive Board and Foundation Board. All AOII members are invited to attend this exciting event, where they have the opportunity to network, engage in AOII rituals, celebrate chapter accomplishments, and experience AOII traditions and sisterhood!

What is International Convention?

International Convention is an event held biennially and provides AOIIs a unique experience to elect new Fraternity leaders, meet other members, hear great speakers, learn during education tracks, and celebrate the accomplishments of the Fraternity, our chapters, and members. Attendees also have the opportunity to participate in AOII Rituals and traditions, and experience sisterhood with members from across North America. 

Who should attend International Convention?

Convention is open to all members of AOII; all voting members of Council are required to attend.

Council includes all Past International Presidents, AOII Executive Board, The National Panhellenic Conference Delegate, AOII Foundation Board of Directors, AOII Properties Board of Directors, the Chairs of the Standing Committees, Network Directors and Specialists, Collegiate Chapter Presidents, Collegiate Chapter Advisors, and Alumnae Chapter Presidents.

When and where will Convention 2025 be held?

June 18–22, 2025, at the JW Marriott Desert Springs Resort & Spa in Palm Springs, California.

What is the schedule for Convention 2025?

The final schedule will be provided prior to the start of Convention on the Event App. The schedule below shows the general schedule of events for Convention.

What is the timeline for registration?

Council Registration

All members of Council must register as a full-time participant for Convention.

Council includes Collegiate Chapter Presidents, Chapter Advisors, Alumnae Chapter Presidents, Past International Presidents, the NPC Delegate, International Standing Committee Chairs, Network Directors, Network Specialists, and members of the Executive, Foundation, and Properties Boards. 

  • Registration opens April 1 at 12:00 PM CT 
  • Registration closes April 15 at 12:00 PM CT 
  • If registering after April 15 at 12:00 PM CT, an additional $100 personal late fee will be charged. 

General Registration: Full-Time

Full-time registration is open to all AOII members who are not members of Council (or attending as alternates for a member of Council). Full-time registration includes all Convention programming from Wednesday evening through Saturday evening.  

  • Registration opens April 17 at 12:00 PM CT* 
  • Registration will close once maximum capacity is reached 

General Registration: Part-Time

Part-time registration is open to all AOII members who are not members of Council (or attending as alternates for a member of Council). Part-time registration is a-la-carte by day and allows registrants to attend all Convention programming on selected days. See part-time attendee section for more details.

What are the costs to attend International Convention?

Chapter Presidents (CP)**

ROOM AND BOARD: Room and Board is paid by the Fraternity for a double room (two collegiate members assigned by the Fraternity to one hotel room). 

AIR TRAVEL*: Up to $600 paid by the Fraternity. Please note that the fraternity will cover only one flight per chapter. If an alternate is chosen after a flight is booked, any additional costs will be the attendee’s or chapter’s responsibility.  

DRIVING*: Up to $100 in gas expenses (receipts required, no mileage allowance) paid by the Fraternity. 

REGISTRATION FEE: $375 registration fee is a personal expense, which may be covered by the chapter if the budget allows. Please consult your Finance Advisor.

INCLUDED MEALS: Wednesday evening snack, Thursday lunch & dinner, Friday dinner, and Saturday lunch & dinner are included with your registration/ room & board. All other meals are a personal expense.

ADDITIONAL EXPENSES: Ground transportation to/ from airport, baggage fees, tips and other fees are paid by the individual.

Collegiate Chapter Advisors (CA)**

ROOM AND BOARD: Room and Board is paid by the Fraternity for a double room (two alumnae members assigned by the Fraternity to one hotel room). 

TRAVEL: Paid by the Collegiate Chapter.

REGISTRATION FEE: $375 registration fee is a personal expense, which may be covered by the chapter if the budget allows. Please consult your Finance Advisor.

INCLUDED MEALS: Wednesday evening snack, Thursday lunch & dinner, Friday dinner, and Saturday lunch & dinner are included with your registration/ room & board. All other meals are a personal expense.

ADDITIONAL EXPENSES: Ground transportation to/ from airport, baggage fees, tips and other fees are paid by the individual.

Alumnae Chapter Presidents (AP)**

TRAVEL: Paid by the Alumnae Chapter.

REGISTRATION FEE: $375 registration fee is a personal expense, which may be covered by the chapter if the budget allows. Please consult your Alumnae Chapter Treasurer.

INCLUDED MEALS: Wednesday evening snack, Thursday lunch & dinner, Friday dinner, and Saturday lunch & dinner are included with your registration/ room & board. All other meals are a personal expense.

PIPS, Boards, Network Directors, Network Specialists, and Standing Committee Chairs

ROOM AND BOARD: Room and Board is paid by the Fraternity (or Foundation for FND Board members) for a double room (two alumnae members assigned by the Fraternity to one hotel room).

AIR TRAVEL*: Up to $600 paid by the Fraternity. This is an in-kind expense for Foundation Board members.

DRIVING*: Up to $100 in gas expenses (receipts required, no mileage allowance) paid by the Fraternity.  

REGISTRATION FEE: $375 registration fee is a personal expense.

INCLUDED MEALS: Wednesday evening snack, Thursday lunch & dinner, Friday dinner, and Saturday lunch & dinner are included with your registration/ room & board. Network team members are also provided Tuesday dinner and Wednesday lunch. All other meals are a personal expense.

Full Time Attendee (Non-Council)

ROOM AND BOARD:
$1,950 – Quad Room (4 attendees per room, assigned by the Fraternity)
$2,175 – Double Room (2 attendees per room, assigned by the Fraternity)
$2,625 – Single Room (1 attendee per room)
Personal expense for Non-Council attendees unless budgeted for by the Chapter or Corporation.

REGISTRATION FEE: $375 personal expense for Non-Council attendees unless budgeted for by the Chapter.

What do I need to know about booking my travel to Convention?

Chapter Presidents (CP)
 
Chapter Presidents must adhere to the AOII Travel Guidelines and utilize SAP Concur to book their flights.

ARRIVAL: CPs should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT. The closest airport is Palm Springs (PSP), which is about a 25-minute drive from the hotel.

DEPARTURE: All attendees can plan to depart at any time on Sunday, June 22.

Collegiate Chapter Advisors (CA)

Chapter Advisors should work with their Finance Advisor to complete travel booking.

ARRIVAL: CAs should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT. The closest airport is Palm Springs (PSP), which is about a 25-minute drive from the hotel.

DEPARTURE: All attendees can plan to depart at any time on Sunday, June 22. 

Alumnae Chapter Presidents (AP)

Alumnae Presidents should work with their Alumnae Chapter Treasurer to complete travel booking.

ARRIVAL: APs should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT. The closest airport is Palm Springs (PSP), which is about a 25-minute drive from the hotel.

DEPARTURE: All attendees can plan to depart at any time on Sunday, June 22. 

PIPS, Boards, Network Directors, Network Specialists, and Standing Committee Chairs

International Volunteers may begin booking travel arrangements via SAP Concur utilizing the current AOII travel guidelines.

ARRIVAL:  

  • Executive Board, Foundation Board, and Properties Board members should plan to arrive at the hotel by 11:00 a.m. PT on Tuesday, June 17.  
  • Network Specialists and Directors should plan to arrive at the hotel by 5:30 p.m. PT on Tuesday, June 17.  
  • Past International Presidents should plan to arrive at the hotel by 6:30 p.m. PT on Tuesday, June 17.  
  • Standing Committee Chairs should plan to arrive at the hotel any time on Tuesday, June 17. 
  • Full-time attendees should plan to arrive at the hotel no later than 4:30 p.m. PT on Wednesday, June 18 to ensure time to check in to the hotel and arrive at the first evening session, which begins at 5:00 p.m. PT.

DEPARTURE: All attendees can plan to depart at any time on Sunday, June 22. 

A member representing a collegiate or an alumnae chapter delinquent more than 10 days in payment of any obligation due in to Headquarters from the start of the first business session, or any other member of Council similarly delinquent, shall not be entitled to vote so long as such obligation is unpaid and the chapter will be billed back for any expenses covered by the Fraternity. 

How do I make changes to my registration?

I can no longer come to Convention. How do I make changes to my registration?

Registrations (including room and board) can be transferred from one member to another until May 12. Any transfers made from May 12 until June 20 will be assessed a $50 fee. Any transfers made on-site during Convention will be assessed a $100 fee.  

Registrations (including room and board) can be canceled until May 12. Any cancelations made after May 12 will not be refunded.  

To initiate a transfer of the registration and payment information, please email events@alphaomicronpi.org.   

I need to update my registration with new information. How do I do that? 

Attendees wishing to make any additional changes to their registration prior to the event will be assessed a $50 change fee. If additional changes to registration are needed upon onsite arrival, the attendee will be assessed a $100 change fee.  

When should I arrive for International Convention?

  • Executive Board, Foundation Board, and Properties Board members should plan to arrive at the hotel by 11:00 am PT on Tuesday, June 17.  
  • Past International Presidents should plan to arrive at the hotel no later than 6:30 PM PT on Tuesday, June 17.

When should I plan to depart from International Convention?

International Convention will end at the close of Rose Banquet on Saturday evening. All attendees can plan to depart at any time on Sunday, June 22.

How do I book my room at the JW Marriott Desert Springs Resort & Spa?

AOII has a block of rooms reserved for full-time Convention attendees and the AOII Events team will handle the rooming list for all registered attendees—no need to book anything! Room type selection will be a question on the Convention registration form. You will have the ability to select your room type, note any accessibility needs, and submit a roommate request, if applicable. Full-time attendees will check in on Wednesday, and out on Sunday.

For part-time attendees, you will have the option to add on rooming to your registration in the ‘Event Products’ section of the registration page.  

I see that I will have a double room, and that I will have a roommate. Can I request that roommate?

Yes, you can. Please keep in mind that roommate matches must be registered for the same room type (double or quad) and must be arriving to Convention on the same day (e.g. two Network Team members who arrive on Tuesday or four collegiate chapter attendees who arrive on Wednesday).  

But don’t worry, if you do not have a roommate request, having a Fraternity placed roommate is a great opportunity to make a new friend and enjoy the sisterhood together! 

How do we select an additional full-time attendee?

This decision is made at the local level. First, confirm whether you have budgeted for an additional attendee or if the cost will be a personal expense or a shared cost—this helps set clear expectations. 

To ensure fairness, consider having interested members submit a statement on why they’d like to attend or complete a survey with specific questions. The selection can be made by various groups, such as the CCAB, the Executive Team, or the Chapter Advisor and Chapter President together. 

If you plan to send an additional attendee, we recommend consulting your ADCE to review your approach. 

Who is a suitable alternate? How do we select an alternate?

An ideal alternate attending Convention on behalf of the CA, CP, or AP is committed to representing the chapter well during all portions of the Convention programming and actively participating. Alternates should be prepared to fully participate in business sessions, ensuring your chapter’s perspectives are thoughtfully represented as you vote on AOII business matters.    

Chapter President Alternate: 

  1. Someone currently serving on the Executive Team or chapter leadership team who aspires to continue their leadership within AOII. They should share why they would like to attend Convention and what they hope to get out the experience 
  2. An emerging leader, similar to those selected for Camp AOII. 

Chapter Advisor Alternate:  

An ideal CA alternate is someone who currently serves as a member of the CCAB and aspires to continue their advising journey with the chapter. Ideally, this role is first offered to VP-level advisors and then opened to Director-level advisors if no VP-level advisors are available to attend.      

This is my first Convention. What do I need to know?

We are excited to have you at Convention 2025!  

As a first-time attendee, we’d encourage the following: 

  • Utilize any GroupMe threads you are a part of to connect with others coming to Convention 
  • At a later date, a Pinterest inspiration board with attire inspiration for the individual meals and events within the Convention schedule will be sent out for your reference; review this! 
  • Download the Event App when it becomes available to look over the schedule to familiarize yourself. 
  • Convention is an amazing opportunity to connect with other women in your officer or volunteer role. We encourage you prior to the Convention to take the initiative to determine who you could get a meal with, snag a coffee, or get a snack with and invite them to do that with you! This is your chance to learn more about them, learn from them, and enjoy our sisterhood. There are so many inspiring women to meet at this event, and that includes you!  
  • Attend the “Convention First-Timers” coffee on Thursday morning to get the latest info on how to make the most of this experience! We can’t wait to see you there! 

 

Can I bring a guest to International Convention?

Guests are allowed to stay on site with you, with the purchase of a single room. Guests with a ticket are welcome to attend Rose Banquet. Rose Banquet tickets can be added by any Convention attendees during the registration process.

Convention programming is only open to registered or ticketed attendees. 

Can I bring children to International Convention?

Children under the age of 14 cannot be included in any of the Convention activities. Children over the age of 14 are welcome to purchase a ticket for Rose Banquet to attend as a guest.  

I am not a member of Council. Can I attend Business Sessions?

Only members of Council have voice and vote, however all members of AOII are encouraged to observe the Business Sessions and witness the business of the Fraternity being conducted. 

What if I want to stay at the JW Marriott Desert Springs Resort & Spa for extra nights?

Additional nights will need to be booked personally. Our events team cannot book rooms outside of the event dates. 

What time is check in?

Check-in time at JW Marriott Desert Springs Resort & Spa is 4 PM (if your room is ready, you may check in earlier). A credit card for incidental room charges will be required for all participants at the time of check in. The hotel accepts most major credit cards.

In addition to checking into the hotel, you need to check in for the event at the AOII registration desk. All chapter accounts and any personal accounts with AOII must be cleared with AOII Headquarters accounting staff before registration can be completed. 

What time is check out?

Check out from JW Marriott Desert Springs Resort & Spa is at 11 AM. You must check out with the hotel and settle all accounts before leaving.

How do I note special dietary needs?

For those participants wanting to request vegetarian, vegan, gluten free or dairy/lactose free meals or have a food allergy, please make note of this request in the space provided on the registration form. Special meals must be requested in advance and not on-site at International Convention.

How do I book airline tickets?

Convention attendees are responsible for booking their own travel.  

  • Alumnae Presidents should work with their Alumnae Chapter Treasurer to complete travel booking.  
  • Chapter Advisors should work with their Finance Advisor to complete travel booking.  
  • International Volunteers who are members of Council may begin booking travel arrangements via SAP Concur utilizing the current AOII travel guidelines.

Real ID Updates

The Transportation Security Administration (TSA) announced an official enforcement deadline for Real ID compliance. Effective May 7, 2025, all air travelers in the US will be expected to show a state-issued driver’s license – or other form of identification – meeting Real ID requirements in order to pass through airport security checkpoints. That goes for both domestic and international flights. 

Not sure if your ID (or your travelers’ IDs) will work? 

All Real ID compliant forms of identification are clearly marked with a star (or flag) in the top corner. Be sure to make any necessary updates within the next few months to avoid travel disruptions.

How do I obtain ground transportation to and from the JW Marriott Desert Springs Resort & Spa?

Attendees must make arrangements for their own airport transportation. Ground transportation to and from the JW Marriott Desert Springs Resort & Spa & Convention Center is a personal expense. We encourage you to utilize the Convention app, as well as any GroupMe’s you are a part of in your role to identify attendees arriving at the same time as you, to ride share with to the resort. 

Is parking available at the hotel?

Overnight self-parking is included and will not be an additional expense.

Can I shop the Emporium at International Convention?

The AOII Emporium will be open at the JW Marriott Desert Springs Resort & Spa throughout International Convention for your shopping convenience. Shopping hours will be listed in the AOII Convention App. Official AOII jewelry will also be available at International Convention. 

What is the Candle Lighting Ceremony?

Candle Lighting is a ceremony that is traditionally one of the most memorable events of Convention. Every collegiate chapter is represented by lighting a single candle while their sub-motto is recited. 

What are the free time options during Convention?

Palm Springs, California has a wide variety of activities and attractions for visitors from The Living Desert Zoo & Garden, to shopping in the El Paseo shopping district, hiking the hundreds of trails offered, making a drive to Joshua Tree National Park, enjoying the museums, taking a ride on the aerial tramway, relaxing by the pool and so much more!
